Job description

On behalf of our client, we are seeking a proactive and highly organized Operations / Administration Officer to join their team. This role plays a vital part in ensuring operational efficiency, compliance, and continuity across the business.

The ideal candidate will support day-to-day operations and back-office functions, while also facilitating collaboration across key departments—including Accounting, HR, Compliance/Legal, and Office Management. You’ll help implement systems, coordinate processes, and maintain consistency in administrative procedures across the organization.

 

Responsibilities:

  • Coordinate daily operational activities and administrative systems, processes, and procedures.
  • Liaise with vendors, service providers, and internal teams to support business functions.
  • Support financial processes such as invoicing, reconciliations, and reporting
  • Coordinate recruitment activities including job postings, interview scheduling, and onboarding.
  • Help with payroll inputs, leave tracking, general HR support and compliance with labor regulations
  • Manage office supplies, calendars, travel arrangements, and correspondence
  • Ensure the office operates in an orderly, professional, and compliant manner.
  • Maintain operational compliance registers and assist in managing contracts, licenses, and policy documentation.
  • Coordinate internal audits and assist in preparing compliance submissions and reports.
  • Support tracking of legal and regulatory obligations, flagging upcoming deadlines or risks to relevant teams.
     

Required qualifications, capabilities & skills:

  • University degree in Business Administration, Operations Management, or a related field
  • 2–4 years of experience in an administrative or operational role, ideally in a mid-sized company
  • Familiarity with office management tools, compliance documentation, and HR systems
  • Experience with ISO standards or operational compliance frameworks is a plus
  • High attention to detail with strong analytical and problem-solving abilities
  • Able to work independently as well as collaboratively within a team
  • Strong organizational skills and the ability to manage multiple tasks effectively
  • Excellent verbal and written communication skills
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Fluent in English
